What is lead qualification?

In short

Lead qualification is the process of deciding whether a new enquiry is likely to become a customer, so a sales team spends its time on the right people. It checks a lead against criteria such as need, budget, authority to buy and timing, and ends with a clear outcome: qualify the lead and open a deal, keep nurturing it, or mark it lost.

Not every enquiry is a sale waiting to happen. Some people are researching, some cannot afford you yet, and some are the wrong fit entirely. Lead qualification is the filter that decides where a small team’s limited selling time goes.

Leads, qualification and deals

A lead is someone who has shown interest but has not yet been checked. Qualification is the check. A qualified lead becomes a contact, often with a company and a deal in the pipeline, while an unqualified one is nurtured or closed.

A typical lead lifecycle:

StatusMeaning
NewJust arrived, nobody has looked yet
ContactedSomeone has reached out
QualifiedMeets the criteria, ready to become a deal
ConvertedTurned into a contact, company and deal
LostNot a fit, or went quiet

Common qualification frameworks

BANT

  • Budget: can they afford it?
  • Authority: are you talking to the person who decides?
  • Need: do they have a real problem you solve?
  • Timing: are they buying soon?

BANT is simple and widely used by small teams. Other frameworks, such as MEDDIC for complex sales, add more criteria, but the principle is the same: agree what “qualified” means before you start judging leads.

Lead scoring

Scoring assigns points for signals, such as company size, the source of the lead or how engaged they are, and treats leads above a threshold as worth a call. It is useful at volume. For most small businesses, a clear checklist applied consistently matters more than a sophisticated score.

Disqualifying is a result too

A clear “no” is valuable. Recording why a lead was not a fit (too small, wrong service, no budget this year) shows you which marketing brings the wrong people and which brings the right ones.

Speed matters

The longer a new enquiry waits, the colder it gets. Even when qualification takes time, acknowledge every lead quickly and give it an owner.

Common mistakes

  1. No shared definition. If each person qualifies differently, the pipeline means different things to different people.
  2. Qualifying too late. Discovering there is no budget after writing a proposal wastes the most time.
  3. Losing the lead’s history at conversion. The notes and source of a lead should carry into the deal.
  4. Never closing leads. Old unqualified leads clutter lists. Mark them lost with a reason.

How GuardenerAI handles it

  • Leads in GuardenerAI CRM move through New, Contacted, Qualified, Converted and Lost, carry a Hot, Warm or Cold rating, and keep their campaign source fields.
  • Converting a lead creates the person and, if you choose, the company and an opportunity at the stage you pick.
  • Admins can write a slash command, such as /qualify, that has the AI assistant check a lead against your checklist and suggest a status, which you confirm.
  • A workflow can pair a qualifying agent with actions that create the discovery-call task and leave a note, started from chat.
  • Web enquiries can arrive as leads through the public lead capture endpoint, and duplicate rules flag a lead that already exists.
