Installers, maintenance crews and service contractors

The CRM for field service businesses.

GuardenerAI for field services is a CRM set up for businesses that send people out to do the work: installation, repair, maintenance and inspection crews. It keeps customers, site contacts and work orders in one place, with field task types and outcomes, booking links for site visits, and invoicing beside the customer. It is for small and medium-sized service businesses that have outgrown a whiteboard and a spreadsheet.

The job is booked on the phone, scheduled on a whiteboard, done on site, and billed weeks later from memory. GuardenerAI puts the customer, the work order and the invoice in one system, so every job is tracked from the first call to the money.

What this usually looks like today.

What changes

One system, doing the work with you.

Every job is a work order

Each job gets a Work Order with its customer, site contact, service type, status, priority, scheduled date, technician, service address and quoted amount. The whole office sees the same list.

Urgent work sorts itself to the top

Field tasks carry types like site visit, repair and inspection, and the Urgent dispatch view lists every open high or urgent task in one place, so the next call is obvious.

Outcomes that drive the follow-up

When a technician closes a task as completed on site, parts ordered or follow-up required, the outcome is on the record. An action plan lays down the return visit so nothing waits on memory.

Bill the customer from the same system

Invoice the customer company or person you did the work for and, once accounting is switched on, see what is still owed without opening another app. On the Max plan, send a Stripe card payment link with the invoice.

FAQ

Questions from teams like yours.

Is GuardenerAI a dispatch or route-planning tool?
No. It tracks customers, work orders, field tasks and invoices, and shows the urgent work in one view. It does not plan routes or track vehicles.
Can we bring our existing customer list across?
Yes. Export it to CSV and import it with a field-mapping step. Imports can update existing records by an external ID instead of creating copies.
Can customers book a visit themselves?
Yes. Share a booking link that only offers the times your coordinator is free. The customer confirms by email, and the visit syncs to the coordinator’s Google or Microsoft calendar.
Do we have to use the Work Order fields as they come?
No. The Field Services template is a starting point. Rename fields, add your own, change the status options or add objects for equipment and sites.
