Builders, remodelers and specialist contractors

The CRM for construction companies and contractors.

GuardenerAI for construction is a CRM for contractors that tracks bids as opportunities, projects as custom objects, and clients and subcontractors as companies and persons. Contracts are signed from the client record and invoices go out from the same system. It is for small and mid-sized builders, remodelers and trade contractors who win work through bids and referrals.

Winning work in construction means chasing a dozen bids at once, then running the jobs you won without dropping the next round. GuardenerAI keeps the pipeline, the project and the paperwork for each client in one place, so the office always knows what is out, what is won and what is owed.

What this usually looks like today.

What changes

One system, doing the work with you.

Every bid on one board

Each bid is an opportunity with value, probability and expected close date, moving through your own stages from site visit to signed contract.

Projects as real records

A Projects custom object holds the site address, start and target dates, contract value and status, linked to the client company and the site contact.

Contracts signed the same day

Send the contract from the client contact’s record. They sign on a phone, your side countersigns, and the sealed PDF is filed on that record.

Invoice each stage of the work

Raise an invoice to the client for each stage, send a Stripe card payment link on the Max plan, and see what is owed in AR aging once accounting is switched on.

How you set it up

Shaped around how construction and contractors actually work.

There is no one-click template for this industry, so you add these objects and fields yourself in Settings. It takes an afternoon, and nothing about it is fixed.

Action plan

Bid follow-up

  1. Day 0: send the bid (high priority).
  2. Day 3: call to walk the client through it.
  3. Day 10: follow up on questions or revisions.
  4. Day 21: ask for a decision.
Signature template

Construction contract

  1. Write the contract once, with the client contact’s name and the date merged in.
  2. Attach the scope as Schedule A in the wording.
  3. The client signs on any device; your project manager countersigns.
Saved report

Win and loss by reason

  1. Source: opportunities, filtered to closed ones between two dates you pick.
  2. Group by lost reason.
  3. See whether you lose on price, timing or competitors.

Contracts you can stand behind.

Every signed contract carries an evidence trail of when it was sent, viewed and signed, sealed against later changes, and filed on the client’s record.

FAQ

Questions from teams like yours.

Is GuardenerAI project management software?
No. It handles the client, the bid, the contract and the invoices. Scheduling crews, Gantt charts and job costing stay in your project tool.
Can I send estimates or quotes from it?
Not as a separate document. Bids live as opportunities with line items, and the contract and invoices go out from the same records.
Can several people sign one contract?
One client signer plus an optional countersignature from your team. Contracts that need several client signatures are sent once per signer.
How do I bring my current bids across?
Export them from your spreadsheet as CSV and import them with field mapping. You can be working from the new board the same day.
