In detail

What Invoices and accounting does, feature by feature.

Everything on this page is in the product today. Nothing here is on a roadmap.

Invoicing

Bill the customer from the record you already keep for them.

  • Raise an invoice to any company or person in your CRM, with payment terms and a due date.
  • Line kinds for products and services, tax and discounts. Tax and discount rates come from products you set up once.
  • A review step before anything goes out: Draft, Submit for Review, then Approve & Issue.
  • Each invoice shows Unpaid, Partially paid or Paid, worked out from the payments applied to it.
  • Credit notes and voids correct a mistake without rewriting the history.

Getting paid

Shorten the gap between sending the invoice and seeing the money.

  • On the Max plan, email a Stripe payment link for any issued invoice, so the customer can pay by card. Links expire and can be resent.
  • Card payments collected through the link are recorded against the invoice automatically.
  • Record cash, check, card, ACH, wire or other payments by hand, and apply one payment across invoices.
  • AR aging shows what is owed by customer, current through 90 days and over.
  • Payments show on the company and person they came from, next to the rest of the relationship.

A real ledger

Double-entry accounting that keeps itself up to date as you invoice and get paid.

  • A chart of accounts ready to use, starting with Accounts Receivable, Undeposited Funds, Tax Payable and Sales Revenue.
  • Invoices and payments post their journal entries automatically. Manual journal entries cover everything else.
  • Recurring journals for the entries you make every month, and revenue recognition schedules for income earned over time.
  • Accounts payable: vendor bills, bill payments and AP aging, so money out lives beside money in.
  • Bank accounts with statements you enter and bank reconciliation against the ledger.

Reports and close

The numbers your accountant asks for, without an export first.

  • Profit & Loss and Balance Sheet for any period.
  • A Trial Balance that shows debits equal credits, and the general ledger entries behind every figure.
  • A Tax Summary of the tax you have charged and collected.
  • Fiscal years and fiscal periods, so a month can be closed and stay closed.
  • Invoices, payments and AR aging can be read from your own tools through the Developer API.

Stop chasing payments in another app.

Invoice from the customer record, record every payment, and see it land in the ledger. Free, with no card.

Works with

Better with the rest of GuardenerAI.

Invoices and accounting shares one set of records with every other module, so nothing is copied between apps and nothing falls out of sync.

FAQ

Fair questions.

What is GuardenerAI Invoices and accounting?
GuardenerAI Invoices and accounting is invoicing and double-entry accounting software built into the GuardenerAI CRM, for small and medium-sized businesses that want to get paid faster without a separate bookkeeping app. Invoices are raised to the companies and persons already in the CRM, on the Max plan customers can pay by card through a Stripe payment link, and every invoice and payment posts to a general ledger with a chart of accounts, journal entries, bank reconciliation and financial reports.
Can my customers pay an invoice by card?
Yes, on the Max plan. Connect your own Stripe account, then email a payment link for any issued invoice. The customer pays by card, and the payment is recorded against the invoice and posted to the ledger. You can also record cash, check, ACH and wire payments by hand.
Does it replace my accounting software?
For many small businesses, yes: invoicing, payments, receivables, payables, a double-entry ledger, bank reconciliation and the core reports are all here. It does not file taxes or run payroll, and there are no automatic bank feeds, so statements are entered by hand. If your accountant works in another system, the reports and ledger give them what they need to close the year.
Can I raise an invoice from a won deal?
Invoices are raised to the company or person you are billing, which are the same records your deals sit on, so the customer is already set up. An invoice is not created from the opportunity itself.
How is tax handled?
Tax is a line on the invoice, calculated from a tax rate you set up as a product, and it posts to Tax Payable in the ledger. The Tax Summary report totals it for you. There is no automatic tax calculation by jurisdiction.
Is accounting switched on for every workspace?
Invoices are part of every workspace. Payments, receivables, the ledger and (on the Max plan) Stripe links are an Accounting module that we switch on for your workspace when you are ready, so we can set up your accounts with you rather than leave you to find a toggle.
Is it priced per user?
No. There is a free plan with no card, and paid plans are $50, $100 or $200 a month for the whole workspace with unlimited users, so your bookkeeper and your sales team can all work in it at no extra cost.
