Booking links for every kind of meeting

Each person on the team keeps their own links, one per kind of conversation.

  • A link has a name, its own web address, a length and a meeting type such as Discovery, Demo, Follow Up, Phone Call, Video Call or In Person.
  • Set where it happens: a place, a phone number or a video link you supply.
  • Ask your own questions on the booking form, each one required or optional.
  • Switch a link off and its page stops taking bookings straight away.

Availability that matches your real week

A booking page should never offer a time you cannot keep.

  • Weekly working hours, in your own time zone.
  • Buffers before and after each meeting, so calls never run back to back.
  • A minimum notice period and a horizon, so nobody books you in ten minutes or in ten months.
  • Busy time on your connected Google or Microsoft calendar is taken out of the offer. Only the start and end of those events are read.
  • A double-booking guard in the database means two people can never take the same slot.

A booking flow customers can trust

Holding the time first and confirming by email keeps the calendar free of fake and mistyped bookings.

  • Picking a time holds it, and the customer gets an email from your own connected mailbox (or a shared team mailbox) with a link to confirm. A booking link needs one of the two connected, because that email carries the customer’s link to manage the booking.
  • The same link lets them reschedule or cancel, and each change is confirmed by email.
  • A hold that is never confirmed expires, and the time goes back on offer.
  • The public booking form is protected against spam and automated submissions.

Meetings as real CRM records

A meeting sits in GuardenerAI next to the tasks, cases and opportunities it belongs with.

  • Each meeting has a title, type, status (Pending, Confirmed, Completed, Cancelled, No Show), start and end with a time zone, a location, an agenda and outcome notes.
  • A booking is linked to an existing person or lead when the email address matches exactly one of them.
  • Meetings can be owned by a person or placed in a queue, like any other work.
  • Meetings you create in GuardenerAI sync to your calendar, and changes made there flow back.

What is GuardenerAI Meetings?
GuardenerAI Meetings is meeting scheduling software built into the GuardenerAI CRM. Each team member shares booking links that offer only the times they are free, based on their working hours, buffers and their Google or Microsoft calendar. Customers pick a time and confirm it by email, and the meeting is recorded in GuardenerAI, synced to the calendar and linked to the matching person or lead. It is included on every plan, alongside the CRM.
Which calendars does it work with?
Google Calendar and Microsoft calendars (Outlook and Microsoft 365). Meetings sync in both directions, and busy time on a connected calendar is removed from your booking links automatically.
Does it create a contact when someone books?
No. A booking is linked to an existing person or lead when the email address matches exactly one record. If there is no match, the meeting is still created and you can link it yourself. This keeps strangers and typos out of your CRM.
Can customers reschedule or cancel on their own?
Yes. The confirmation email carries a link that lets them reschedule or cancel, and every change is confirmed back to them by email.
Does it work with Zoom, Google Meet or Teams?
You can add any video link to a booking link and it is shared with the customer. GuardenerAI does not create video meetings for you automatically.
Does it record or transcribe meetings?
No. Meetings handles scheduling and the meeting record. Outcome notes are written by the person who held the meeting.
Do I need to connect a mailbox?
Yes. Booking confirmations are sent from the link owner’s connected mailbox, or from a shared mailbox for the whole team if the owner has none. Without either, the booking link turns bookings away, because the confirmation email carries the only link the customer has to confirm, reschedule or cancel.
Is Meetings an extra cost?
No. Meetings is part of the core product on every plan, including the free one. Paid plans are $50, $100 or $200 a month for the whole workspace, with unlimited users.
