GuardenerAI Automation

Follow-up that happens every time, without anyone chasing it.

GuardenerAI Automation is the part of GuardenerAI that makes routine work happen the same way every time. Rules check persons, companies, leads, opportunities, tasks, cases and meetings as they are saved: validation rules block bad data, enrichment rules fill fields from decision tables, and duplicate rules flag or block likely matches. Workflows chain an AI agent with follow-up actions and run from a chat command, and action plans lay down a set sequence of dated tasks on any record. It is built for small and medium-sized businesses that want consistent follow-up without hiring an operations team.

What it is
Rules, duplicate handling, workflows and action plans, built into the GuardenerAI CRM.
Who it is for
Small and medium-sized teams that want clean records and follow-up that does not depend on memory.
What is in it
Validation, enrichment and duplicate rules, a duplicate review queue, agent workflows and action plans.
Price
Included with GuardenerAI. A free plan with no card, and paid plans at $50, $100 or $200 a month per workspace. See pricing.
Automation

Your standards, enforced on every save.

Write the rules once: what a valid record looks like, which fields fill themselves, what counts as a duplicate. GuardenerAI checks every person, company, lead and opportunity as it's saved, and workflows and action plans make sure the follow-up happens the same way every time.

Validation

Stop a bad email or a missing field before it is saved, with a message that says how to fix it.

Enrichment and duplicates

Decision tables fill fields from data you hold. Likely duplicates wait in a queue for you to review and merge.

Workflows

Chain an agent with the actions that follow, and run it from a chat command or the assistant.

Action plans

Lay down the same sequence of tasks on a person, company or opportunity, with every due date worked out.

Workflows

The way your best person works, every time.

Turn a good routine into one your whole team runs. Workflows pair an agent with the actions that follow, started from a chat command or by the assistant. Action plans lay down the same sequence of tasks on any record, with every due date worked out for you.

In detail

What Automation does, feature by feature.

Everything on this page is in the product today. Nothing here is on a roadmap.

Rules that hold your standard

Write what a good record looks like once, and every save is checked against it.

  • Validation rules stop a record being saved until it passes, with a message that says how to fix it.
  • Enrichment rules fill fields from a decision table you write, for example a region from a state or a tier from a deal size. The data comes from your own tables, not an outside provider.
  • Rules run on create, on edit, on both, or only when you run them by hand.
  • Rules cover persons, companies, leads, opportunities and their line items, tasks, cases and meetings, and validation also covers invoices. They do not run on custom objects.
  • Decision tables are edited in a visual editor, and each rule keeps numbered versions.
  • Admins can wrap a rule as a custom tool that your own AI agents can call.

Duplicates caught, and merged by a person

The same customer entered twice is found before it costs you a deal.

  • Duplicate rules on persons, companies and leads either flag a likely match or block the save.
  • Matching can be exact, exact after normalising, by normalised company name, or by normalised phone number.
  • Flagged pairs wait in a review queue. Nothing merges on its own: a person reviews each pair and decides.
  • Merging lets you pick each field from either record, and moves tasks, opportunities, files and email to the record you keep.
  • Rules check records as they are saved. A nightly scan catches duplicates that arrived through a CSV import and adds them to the queue.

Workflows for the routine work

Package a routine your best person follows, and let anyone run it in one step.

  • A workflow is a chain of steps that run in order. Each step is either an Agent, one of your own AI agents, or an Action.
  • Actions create a task, add a note, write to the log, or create and match records.
  • Start a workflow from the chat slash menu, or ask the assistant to run it for you.
  • Every run is listed under Workflow Executions, with the status of each step.
  • Workflows run when someone starts them. They do not fire on their own from record changes or a schedule.

Action plans for repeatable follow-up

Onboarding, renewals and win-backs, laid down the same way every time.

  • An action plan is a template of tasks, each with a subject, a priority and a timing.
  • Timing is a number of days after the plan starts, or after an earlier task in the plan.
  • Apply a plan to an opportunity, person or company, pick who the tasks are assigned to, and preview them before they are created.
  • Every task gets its due date the moment the plan is applied, so the whole sequence shows up in your task list straight away.
  • The assistant can apply a plan for you from chat.

FAQ

Fair questions.

What is GuardenerAI Automation?
GuardenerAI Automation is the part of GuardenerAI that makes routine work happen the same way every time. Rules check persons, companies, leads, opportunities, tasks, cases and meetings as they are saved: validation rules block bad data, enrichment rules fill fields from decision tables, and duplicate rules flag or block likely matches. Workflows chain an AI agent with follow-up actions and run from a chat command, and action plans lay down a set sequence of dated tasks on any record. It is built for small and medium-sized businesses that want consistent follow-up without hiring an operations team.
What starts a workflow?
A person or the assistant. You run a workflow from the chat slash menu, or ask the assistant to run it on a record. Workflows do not start on their own from record changes, schedules or webhooks today, so nothing runs that someone did not ask for.
What is the difference between a rule, a workflow and an action plan?
A rule checks or fills in a record every time it is saved. A workflow is a short chain of AI and action steps that you run on demand. An action plan lays down a set of dated tasks on a record so the same follow-up happens every time.
Does GuardenerAI merge duplicates automatically?
No. Duplicate rules flag or block likely matches, and flagged pairs wait in a review queue. A person reviews each pair, picks which value to keep for each field, and merges. Tasks, opportunities, files and email move to the record you keep.
Where does enrichment data come from?
From decision tables you write in GuardenerAI, such as a region for each state or a tier for each deal size. Enrichment does not buy or look up data from an outside provider.
Do rules run when I import a CSV file?
Imports write records directly, so save-time rules do not block an imported row. A nightly scan checks for duplicates afterwards and adds any it finds to the review queue.
Is Automation an extra cost?
No. Rules, workflows and action plans are part of GuardenerAI. There is a free plan with no card, and paid plans are $50, $100 or $200 a month for the whole workspace with unlimited users.
