Healthcare practices · GuardenerAI Marketing

Patient marketing for healthcare practices.

Healthcare practices use GuardenerAI Marketing to welcome new enquiries, send practice news and reminder campaigns, and invite lapsed patients back by email, SMS or WhatsApp, with consent per channel and topic and suppressions handled, alongside their clinical system.

A practice grows on the patients who come back and the enquiries that turn into first visits. Marketing in the same CRM as the enquiry keeps every message tied to a real relationship, and keeps consent where the team can see it.

Every new enquiry welcomed

Journeys can start when a new lead is created, which is what happens when your website form sends an enquiry.

  • Send a welcome email with what to expect at a first visit, wait, then follow up by SMS if the person has consented to it.
  • Splits test consent, built-in fields or segment membership, so each person gets the channel they agreed to.
  • Waits are fixed delays you set.

Reminders and reactivation, done carefully

Segments cannot use custom date fields, so recall lists are built deliberately rather than automatically.

  • Each month, build a static segment of the people due for recall from your own records, and send a reminder campaign to it.
  • Or start a manual journey ("I add them") and add patients to it as they come due.
  • Action plans put the follow-up call on the record as a dated task for the front desk.

Consent in plain sight

Consent is kept per channel and topic, under the opt-in or opt-out mode you choose for the workspace.

  • Every marketing email carries an unsubscribe link, and the unsubscribe page updates consent straight away.
  • Hard bounces, repeated soft bounces and complaints are suppressed automatically.
  • A frequency policy and a daily cap keep patients from hearing from you too often.

How to set it up

  1. Apply the Healthcare Providers starter template and connect your sending providers.
  2. Choose opt-in for the workspace if your practice requires explicit consent.
  3. Build a welcome journey triggered by a new lead.
  4. Each month, build the recall segment and send a reminder campaign.
  5. Keep message content general: appointments and practice news, never clinical detail.

Worth knowing

  • Segments filter on built-in person and lead fields, consent, segment membership, posted events and RFM groups. They cannot filter on custom fields (including fields a template adds) or on relative dates such as "in the next 30 days".
  • Journey goal steps do not check a condition; reaching one simply ends the run. Plan exits with splits and waits instead.
  • HIPAA and BAA support are on the roadmap, not yet delivered. Do not put clinical information in marketing messages, and talk to us before storing regulated health information.
FAQ

Fair questions.

Can recalls go out automatically when a patient is due?
Not from a date field: segments cannot filter on custom fields or relative dates. Build a recall segment each month, or add patients to a manual journey as they come due.
Can we text patients?
Yes, through Twilio, to patients who have consented to SMS. WhatsApp works through Twilio or Meta with approved templates.
Is it HIPAA compliant?
HIPAA and BAA support are on the roadmap, not yet delivered. Keep clinical details out of messages and talk to us before storing regulated health information.
