Accounting, bookkeeping and tax practices

The CRM for accounting firms.

GuardenerAI for accounting firms is a CRM for winning, onboarding and billing your own clients. It is for small accounting, bookkeeping and tax practices that want new-client enquiries, engagement letters, onboarding tasks and the firm’s own invoices in one system. It is not a tax or client-bookkeeping tool.

Your clients’ books live in their accounting software. Your firm’s own growth, the enquiries, proposals, onboarding and fee invoices, usually lives in email and a spreadsheet. GuardenerAI is the system for that side of the practice.

What this usually looks like today.

What changes

One system, doing the work with you.

Every enquiry has an owner

Enquiries become leads with their source attached. Converting one creates the client person, the business and a proposal opportunity, so nothing is retyped.

Onboarding run the same way every time

An action plan lays down the onboarding tasks, with due dates worked out from the day you start, on the client’s record.

Seasonal reminders to the right clients

Add the clients with a given year end to a static segment, and an email or SMS journey sends the reminders and the follow-up, without a mail merge.

Your own fees, invoiced and reconciled

Invoice clients for your fees, take card payments by Stripe link on the Max plan, and keep the firm’s own ledger with AR aging once accounting is switched on for your workspace.

How you set it up

Shaped around how accounting firms actually work.

Start from the Professional Services starter template in Settings, then adjust anything. Everything a template adds stays editable.

From the starter template

Use it as one record per engagement, such as annual accounts or a tax return. Rename it Engagements if you prefer; the template stays editable.

Action plan

New client onboarding

  1. Send the document checklist, high priority, due the day the plan starts
  2. Request access to the client’s accounting software, due day 2
  3. Set up the client file and recurring deadlines, due day 5
  4. Thirty-day check-in call, due day 30
Marketing journey

Year-end reminder

  1. Starts when you add clients to a static segment, such as everyone with a December year end
  2. Send a reminder email with what to prepare
  3. Wait 7 days
  4. Split on SMS consent, then send an SMS nudge or a second email
Signature template

Engagement letter

  1. Write the letter once, with the client’s name, your firm name and the sent date merged in
  2. Send it from the client contact’s record
  3. A partner or the partners’ queue countersigns
  4. The sealed PDF and its certificate of completion are filed on the record

Your clients’ details stay private.

Each firm gets its own isolated, encrypted space, with fixed roles that deny access by default and an append-only audit trail. GuardenerAI runs your firm’s client relationships and fee billing; it does not prepare returns or replace the bookkeeping software your clients use.

FAQ

Questions from teams like yours.

Is this practice management or tax software?
No. GuardenerAI handles the firm’s pipeline, onboarding, engagement letters, client communication and your own fee invoicing. Tax preparation and client bookkeeping stay in the tools you use for them.
Can we invoice our own fees from it?
Yes. Invoices go to the client company or person, with Stripe card payment links on the Max plan (on other plans you record payments by hand). Payments, AR aging and a double-entry ledger for the firm are available once the accounting module is switched on for your workspace.
Can we remind clients about deadlines automatically?
Add the clients a deadline applies to, such as everyone with a December year end, to a static segment. A marketing journey then sends the emails or SMS, with waits and splits in between. Segments cannot yet filter on your own custom fields or on relative dates, so you choose who goes in.
Can several partners share the work?
Yes. Every paid plan has unlimited users, tasks and records can be owned by a person or a shared queue, and countersigning can go to a queue any partner can claim.
