Franchisors and franchise development teams

The CRM for franchise businesses.

GuardenerAI for franchise businesses is a CRM for franchisors. It runs franchise development as a pipeline from first enquiry to signed agreement, keeps each franchisee and location as linked records, sends franchise agreements for e-signature, and lays down the same onboarding steps for every new franchisee with action plans. It is for growing franchise brands with a small head-office team.

Growing a franchise means two jobs: finding the right new franchisees and supporting the ones you have. Both depend on following the same steps every time. GuardenerAI gives head office one place for candidates, franchisees and locations, with the routines that keep the brand consistent.

What this usually looks like today.

What changes

One system, doing the work with you.

One development pipeline

Franchise enquiries arrive as leads and convert into opportunities that move from first call to signed agreement, with lost reasons recorded.

Discovery calls booked from a link

Candidates pick a discovery call from a booking link that only offers the times your development manager is free.

Agreements signed from the record

Send the franchise agreement from the candidate’s record. They sign on any device, your director countersigns, and the sealed PDF is filed on the person.

Onboarding the same way every time

An action plan lays down every onboarding step for a new franchisee, from training to opening day, each with an owner and a due date.

The repeat work, set up once.

Each of these is built from features in the product today. Set them up once and the whole team runs them the same way.

Action plan

New franchisee onboarding

  1. Apply it to the franchisee company when the agreement is signed.
  2. Day 0: welcome call and onboarding pack (high priority).
  3. Day 14: training week booked.
  4. Day 45: site and fit-out review.
  5. Day 90: opening day check-in.
Booking link

Discovery call

  1. A 30-minute video call booking link with your development manager.
  2. Asks about the candidate’s preferred territory and timeline.
  3. Confirmations go out from the manager’s connected mailbox.
Duplicate rule

Clean enquiry list

  1. Match leads on normalised email and phone.
  2. Flag candidates who enquire through more than one portal.
  3. Review and merge them in the duplicate queue.

Candidate and franchisee data kept secure.

Records live in your own encrypted, audit-logged space with default-deny roles, and every signed agreement carries an evidence trail and a sealed PDF.

FAQ

Questions from teams like yours.

Can each franchisee have their own separate CRM?
GuardenerAI is one workspace for head office. Roles are Admin, Member and Viewer, and it does not partition data per location, so franchisees would see the workspace their role allows.
Can several people sign the franchise agreement?
Each request has one signer plus an optional countersigner from your team. If several owners must sign, send a request to each.
Can we collect franchise fees through it?
You can invoice franchisees and, on the Max plan, send a Stripe card payment link with the invoice. There are no recurring invoices or automatic royalty billing.
Can we track every location?
Yes. Add a Locations object in Settings, linked to each franchisee company, with the fields you need.
