Associations, clubs and chambers of commerce

The CRM for associations, clubs and chambers.

GuardenerAI for membership organisations is a CRM for associations, clubs and chambers. It models memberships as a custom object linked to each member person or company, sends newsletters and renewal campaigns to the members you choose by email, SMS or WhatsApp, and invoices dues and sponsorships from the same system. It is for member-run organisations with a small staff.

A membership organisation lives on renewals and engagement, run by a few staff and a lot of volunteers. GuardenerAI gives them one list of members, one place for every conversation and the tools to keep members coming back.

What this usually looks like today.

What changes

One system, doing the work with you.

One member list

Members are persons or companies, each with a Memberships record for their tier, join date, renewal date and status.

Renewals worked as a list

Each month, an action plan on every membership due for renewal lays down the reminder calls and emails, and the members you pick go into a static segment for a renewal campaign by email or SMS.

Sponsors as a pipeline

Sponsorships run as opportunities with value and stages, and sponsor agreements are signed from the sponsor’s record.

Dues and sponsorships invoiced

Raise invoices to members and sponsors and, on the Max plan, send Stripe card payment links once accounting is switched on.

How you set it up

Shaped around how membership organisations actually work.

There is no one-click template for this industry, so you add these objects and fields yourself in Settings. It takes an afternoon, and nothing about it is fixed.

  2. Day 0: send the renewal email with the dues invoice (and its card payment link on the Max plan).
  3. Day 14: call members who have not renewed (high priority).
  4. Day 28: final reminder before the membership lapses.
Signature template

Sponsor agreement

  1. Write the agreement once, with the sponsor contact’s name and the date merged in.
  2. The sponsor signs on any device.
  3. Your chair or director countersigns.

FAQ

Questions from teams like yours.

Does it collect membership dues automatically?
No. There are no recurring invoices or automatic billing. You raise dues invoices (with card payment links on the Max plan), and the ledger keeps the books.
Can members log in?
Yes. Members can be given access to the customer portal, where you can send them forms and announcements.
Can volunteers use it without seeing everything?
Yes. Give them the Viewer role, or the Member role with only the modules they need.
Is there a template for associations?
No one-click template. Add a Memberships object with your tiers in Settings; the Nonprofit & Foundations template is built for grants and donors, not dues.
