What is a payment link?

In short

A payment link is a secure web address that takes a customer to a hosted checkout page where they can pay a specific amount, usually by card. Businesses send it by email or message, often alongside an invoice, so customers can pay immediately without bank details, a portal login or a phone call.

Why it matters

Every step between an invoice and a payment is a reason for delay. Copying bank details, logging in to a portal or waiting for a cheque all slow things down. A payment link removes most of those steps: the customer clicks, pays by card on their phone and is done.

For small businesses, that can mean being paid in days instead of weeks, and spending less time chasing.

How it works

  1. The business issues an invoice.
  2. It creates a payment link for the amount due through a payment provider.
  3. The link is sent to the customer by email or message.
  4. The customer opens a secure checkout page hosted by the provider and pays.
  5. The provider confirms the payment, and the business records it against the invoice.

Card details are entered on the provider’s page, not on the business’s systems, which keeps sensitive data out of the business’s hands.

ApproachWhat the customer does
Invoice onlyReads bank details and makes a transfer
Invoice with payment linkClicks and pays by card in the same moment
Customer portalLogs in, finds the invoice, then pays

Many businesses offer both: the link for speed and bank details for customers who prefer transfers.

Things to get right

  • Match the link to the invoice, so the payment is applied to the right balance.
  • Set an expiry and resend a fresh link if the customer misses it.
  • Record the payment automatically rather than re-typing it later.
  • Know your fees. Card payments usually cost the business a percentage; check your provider’s pricing.

Common mistakes

  • Sending a generic link that is not tied to a specific invoice, which makes reconciliation harder.
  • Not updating the books when a card payment arrives, so the customer still looks overdue.
  • Hiding the link at the bottom of a long email.

Making it easy to pay

Put the link near the top of the email, with the amount and due date beside it. Use a short, clear line such as “Pay invoice INV-1042 by card”. If a link expires before the customer pays, send a fresh one with a brief, friendly reminder. And keep offering other ways to pay for customers who prefer bank transfer, so nobody has a reason to wait.

How GuardenerAI handles it

  • GuardenerAI Invoices and accounting connects to Stripe on the Max plan, so a payment link can be emailed for any issued invoice.
  • Links expire and can be resent.
  • When the customer pays by card through the link, the payment is applied to that invoice automatically and the invoice moves to Paid or Partially paid.
  • The payment posts its journal entry to the ledger, and shows on the company and person record in the CRM.
  • Payments made other ways, such as cash, check, ACH or wire, are recorded by hand against one or several invoices.
  • Payments are part of the Accounting module, switched on for your workspace; Stripe payment links come with the Max plan, and on other plans payments are recorded by hand.
