What is an accounts receivable aging report?

In short

An accounts receivable (AR) aging report lists the money customers owe a business, grouped by how long each invoice has been outstanding, typically current, 1 to 30 days overdue, 31 to 60, 61 to 90 and over 90 days. It shows at a glance which customers to chase first and how much cash is tied up in late payments.

Why it matters

Profit on paper does not pay wages; cash does. Many small businesses are profitable and still short of cash because customers pay late. The aging report is the simplest tool for seeing that problem early and acting on it.

The older an unpaid invoice gets, the less likely it is to be paid at all. Catching invoices in the first two buckets is far easier than chasing them at 90 days.

How to read it

BucketWhat it meansTypical action
CurrentNot yet dueNothing, or a friendly reminder before the due date
1 to 30 daysRecently overdueA polite reminder with a way to pay
31 to 60 daysClearly lateA direct call or message from the account owner
61 to 90 daysSeriously lateEscalate, pause new work, agree a plan
Over 90 daysAt riskFormal collection steps

The report can be read by customer, so you see the total each customer owes and how it splits across buckets, or as a total for the business.

How to use it to get paid faster

  • Review it weekly, not just at month end.
  • Make paying easy, for example with a card payment link on every invoice.
  • Give each overdue account an owner who will follow up.
  • Look for patterns. A customer who is always late may need different terms.
  • Apply payments correctly so the report shows what is really outstanding.

Common mistakes

  • Unapplied payments. Money received but not matched to invoices makes customers look overdue when they are not.
  • Disconnected systems. If invoices live in one app and customer relationships in another, the person talking to the customer often does not know they owe money.
  • Waiting too long. The first reminder should go out within days of the due date.

A weekly routine

Pick one time each week, open the aging report and work from the oldest bucket down. Send a reminder with a payment link for anything just past due. Call or message customers in the 31 to 60 day bucket. For anything older, agree a plan and decide whether to pause new work. Then check that every payment received that week has been applied to the right invoice, so next week’s report is accurate.

How GuardenerAI handles it

  • GuardenerAI Invoices and accounting shows AR aging in Current, 1 to 30, 31 to 60, 61 to 90 and over 90 day buckets, plus AP aging for what you owe suppliers.
  • Each invoice shows whether it is Unpaid, Partially paid or Paid, worked out from the payments applied to it, and one payment can be applied across several invoices.
  • On the Max plan, a Stripe payment link can be emailed for any issued invoice, and card payments made through it are applied to the invoice automatically.
  • Invoices and payments appear on the company and person records in the CRM, so whoever looks after the customer sees what is owed.
  • Payments, AR aging and the ledger are part of the Accounting module, which is switched on for your workspace. AR aging can also be read from your own tools through the read-only Developer API.
