Churches, congregations and faith-based communities

The CRM for churches and faith communities.

GuardenerAI for churches and faith communities is a CRM for congregations and faith-based organisations. It keeps members, visitors and volunteers as person records, records gifts as a custom object, follows up with newcomers through action plans, and sends newsletters by email, SMS or WhatsApp to people who have opted in. It is for communities run by a small staff and many volunteers.

A community is built on noticing people: the visitor who came twice, the volunteer who stepped back, the family that moved house. When names live in sign-up sheets and phones, people slip through. GuardenerAI gives your team one shared, respectful record of the people you care for.

What this usually looks like today.

What changes

One system, doing the work with you.

Every visitor welcomed

New visitors become person records, and a welcome action plan lays down a call, a coffee invitation and a check-in a month later, each owned by someone on the team.

Volunteers who know where they are needed

Ministries and teams are recorded on each person, and volunteer requests go out to the people you choose by email, SMS or WhatsApp.

Gifts recorded properly

A Gifts object records each gift against the person who gave it, so the treasurer works from the same records as the pastoral team.

News that reaches people

Newsletters and event invitations are sent to people who have opted in, with an unsubscribe link in every email.

Action plan

Welcome a newcomer

  1. Apply it to each new visitor’s record.
  2. Day 1: thank-you call (high priority).
  3. Day 7: invitation to a welcome coffee.
  4. Day 30: check-in on how they are settling in.
Marketing journey

Weekly newsletter

  1. Build a segment of people who have opted in to email.
  2. Starts when someone joins the segment.
  3. Sends the welcome to the newsletter, then a short guide to groups and ministries a week later.
Booking link

Book time with the pastor

  1. A 45-minute booking link per pastor, with the questions you want answered first.
  2. Offers only the times their calendar is free.
  3. Confirmations go out from their connected mailbox.

Pastoral information handled with care.

Records live in your own encrypted, audit-logged space with default-deny roles, so a volunteer can be given the Viewer role or only the modules they need. Keep confidential pastoral notes to the people who must see them.

FAQ

Questions from teams like yours.

Can people give online through GuardenerAI?
There is no donation page. You record gifts as records; on the Max plan you can also send a Stripe card payment link with an invoice, for example for event fees.
Can volunteers use it?
Yes. Seats are unlimited on every paid plan, so volunteers can be added with the Viewer role or the Member role, and only the modules they need.
Can we group people into households?
Record the household on each person, or add a Households custom object and link people to it with a lookup field.
Does it send giving statements?
Not automatically. Gifts are recorded per person, so the information is in one place when you prepare statements.
