Aesthetics clinics, medspas and cosmetic practitioners

The CRM for medical aesthetics clinics and medspas.

GuardenerAI for medical aesthetics is a CRM that sits beside the clinical system and runs the client side of the clinic: consultation enquiries, booking links, consent and treatment agreements signed online, rebooking campaigns by email, SMS or WhatsApp, and invoicing. It is for aesthetics clinics and medspas that grow on repeat clients and referrals.

Aesthetics is a repeat business. The client who loved her first treatment should hear from you before she thinks of booking elsewhere. GuardenerAI keeps every enquiry, consultation and follow-up in one place, beside the clinical record rather than inside it.

What this usually looks like today.

What changes

One system, doing the work with you.

Consultations booked in one step

Enquiries arrive as leads, and a consultation booking link offers only the times a practitioner is free. Bookings link to the client when the email matches exactly one record.

Agreements signed before the appointment

Send the treatment agreement from the client’s record. They sign on their phone, a practitioner countersigns, and the sealed PDF with its evidence trail is filed on the record.

Rebooking that does not rely on memory

Add clients due a top-up to a static segment and a journey sends the reminder by email, SMS or WhatsApp, only to people who consented to that channel.

Clients who come back, and why

RFM personas group clients by how recently and often they buy when purchase events are recorded, so Champions and At Risk clients get different messages.

How you set it up

Shaped around how medical aesthetics and medspas actually work.

There is no one-click template for this industry, so you add these objects and fields yourself in Settings. It takes an afternoon, and nothing about it is fixed.

Built to healthcare-grade standards. Honestly stated.

Encrypted, audit-logged, isolated per tenant, with default-deny roles. HIPAA and BAA support are on our roadmap, not yet delivered, and we say so plainly here rather than letting you discover it later. GuardenerAI is a CRM, not an EHR: it sits beside your clinical system instead of replacing it.

FAQ

Questions from teams like yours.

Is GuardenerAI a clinical record system?
No. Keep medical histories and treatment notes in your clinical system. GuardenerAI handles enquiries, bookings, agreements, marketing and invoicing around it.
Can clients sign consent forms online?
Yes. Send an agreement from the client’s record; they sign on any device after agreeing to sign electronically, and a practitioner can countersign. Whether a form meets your local rules is a question for your own adviser.
Can clients pay deposits by card?
On the Max plan you can send a Stripe card payment link with an invoice. On other plans you raise the invoice and record the payment by hand.
Does it manage treatment rooms or product stock?
No. Booking links are per practitioner with no room or resource booking, and there is no inventory. Keep those in the systems you use now.
