Email and calendar

Outlook CRM integration: email in and out, filed on the record.

GuardenerAI connects to Outlook and Microsoft 365 with Microsoft sign-in to send one-to-one email from your records and to capture incoming mail, filing each message against the person, company or lead it belongs to.

Included in the core product. Your organization admin decides who may connect a mailbox: every member, or admins only.

What it does

  • Connects with Microsoft sign-in; no password is stored.
  • Sends and receives: new mail in the inbox is checked and filed on the matching record.
  • Matches incoming mail first to a reply in a thread you started, then to a person, company or lead by address.
  • Sends one-to-one email from a record with attachments, inline images and your email templates, and keeps a copy on the record.
  • Your admin chooses whether captured mail keeps the full body or only the sender, subject and time.

How to connect it

  1. Open Settings, Mailboxes and add your Outlook or Microsoft 365 address.
  2. GuardenerAI recognises a Microsoft mailbox and asks you to sign in with Microsoft.
  3. Send from the Email panel on any person, company or lead. Replies that match a record are filed as they arrive.

What it does not do

  • Incoming mail that matches no person, company or lead is discarded, not stored.
  • There is no open or click tracking on one-to-one email.
  • Your Outlook calendar is a separate connection, under Settings, Calendars.

FAQ

Fair questions.

Does it file every email I receive?
Only mail that matches a person, company or lead you already have, or a reply to a thread sent from GuardenerAI. Everything else is ignored.
Can we keep message bodies out of the CRM?
Yes. An admin can set capture to metadata only, which keeps the sender, subject and time but never the body.
Is my Outlook calendar connected too?
Calendars are connected separately, under Settings, Calendars, because Microsoft grants mailbox and calendar access separately.
