What is a booking link?

In short

A booking link is a personal web address that lets someone schedule a meeting with you by choosing from your available times. It reads your working hours and connected calendar, hides times you are busy, and creates the meeting when the guest confirms, so nobody has to trade emails to find a slot.

Why it matters

Arranging a meeting by email usually takes several messages and a day or two. Every step is a chance for the prospect to lose interest. A booking link turns that into one click: they see real times, pick one, and the meeting is in both calendars.

For small businesses that sell or serve on calls, such as consultants, advisers, clinics and agencies, faster booking means more conversations and fewer no-shows from confusion about times and time zones.

How it works

  1. You set your availability: working hours, gaps between meetings, and how far ahead people can book.
  2. You connect your calendar, so busy times are hidden automatically.
  3. You share the link in an email, on your website or in a message.
  4. The guest picks a time in their own time zone and answers any questions you added.
  5. The meeting is confirmed and added to your calendar.

Settings that matter

SettingWhy it matters
DurationDifferent links for a 15-minute intro and a 60-minute consultation
BuffersTime before and after each meeting, so calls never run back to back
Minimum noticeStops someone booking you in ten minutes’ time
Booking horizonLimits how far ahead people can book
LocationA phone number, an address or a video link
QuestionsInformation you need before the call

Common mistakes

  • Showing every free minute. Protect focus time and use buffers.
  • No calendar connection. Without it, people can book over existing meetings.
  • One link for everything. Separate links for separate meeting types keep durations and questions right.
  • Losing the context. A booking that does not connect to the customer’s record means the person taking the call starts cold.

Where to share it

  • In your email signature, so anyone you write to can book a follow-up without asking.
  • On your website, next to a clear call to action such as “Book a consultation”.
  • In marketing messages, where the next step is a conversation.
  • In replies to enquiries, instead of offering three times and waiting.

Use a different link for each kind of meeting, so a quick intro call and a full consultation each get the right length and questions.

How GuardenerAI handles it

  • GuardenerAI Meetings gives each team member their own booking links, each with a name, web address, duration, meeting type, location and optional questions.
  • Availability uses weekly hours in your own time zone, buffers before and after, a minimum notice period and a booking horizon, and a double-booking guard means two people can never take the same slot.
  • Busy time from a connected Google or Microsoft calendar is removed from the times on offer, and meetings sync in both directions.
  • The guest confirms the booking from an email sent from a connected mailbox, and the same link lets them reschedule or cancel.
  • When the guest’s email matches exactly one existing person or lead in the CRM, the meeting is linked to that record. Bookings never create new records.
  • Meetings record a link you supply for video calls; GuardenerAI does not create video meetings or record them.
